Re: [BULK] Re: [SECURITY] Secure File Upload Solution

We recently needed to address this issue and we accomplished this by creating a Google Form (we are a Google Enterprise
school). We require the individual to log in with the University email address and provide a few pieces of information
and then they can attach up to 6 documents at a time (within the file size limits). These files are then moved by the
appointed person to the appropriate file location on the university systems. It is just coming out of testing but
seems to work well.

Brianne,

We are using Dropbox enterprise for performing secure file transfers for this case. We recently have
become a continuation university for a local institution that is closing down and drop box was a way for their admin
team to work with our admin team and securely transfer documents to us. You can create unique file request URL’s that
only allows files to be uploaded. These documents are then delivered to the folders that you specify. Dropbox for
enterprise has excellent auditing capabilities and from within the organization you can create custom share rules that
control access to the uploaded documents. The office of the registrar and financial aid have designated specific data
stewards to have access to this information and load it into Colleague.

Sincerely,
Francisco Chavez

We’re facing some new challenges securely receiving the required student documentation for registration, financial aid,
etc. We used to obtain documentation in person that we’re now looking to collect online. Are any of you using a secure
file upload solution with data indexing features? Ideally, we’d like to identify a solution capable of assisting with
indexing rather than have everything going to a general folder. Building a new solution seems like a major undertaking.
I’d prefer something more out-of-box.

Salesforce is our CRM and Banner as our SIS. We’re also using Docusign, but can’t determine a way to collect documents
such as photos of Driver’s Licenses or SSN cards using it. Got any ideas?
